A year of employee training video should be scoped and produced as a single program, not as twelve separate productions. Plan the full curriculum first, batch the shooting into a small number of blocks, standardize the format once, and build a versioning plan before the first camera is set up. Companies that do this spend substantially less per module and end up with a library that looks like it belongs together.
Here is how that process actually runs.
Step 1: Scope the whole curriculum before producing anything
The most expensive mistake in training video is producing module one before knowing what modules two through twenty are. Format decisions made in isolation get locked in, and every later module either inherits them or looks inconsistent.
Before production, get to a written list covering:
- Every topic to be covered across the year
- Who the audience is for each — all staff, a department, a role, new hires only
- Whether each module is required, compliance-driven, or optional
- Rough target runtime per module
- Which modules are evergreen and which are tied to something that will change
That last distinction matters more than it appears. A module on workplace conduct may run for five years. A module walking through a software interface expires the next time that interface is redesigned. Those two things should not be produced the same way — the interface-dependent module should be built for cheap replacement, with a simpler shooting format and screen content kept in separate, replaceable segments.
Step 2: Standardize the format once
Decide once, apply to all:
- Presenter approach. A consistent on-camera host, rotating subject matter experts, voiceover over screen capture, or a mix. Consistency across the series is worth more than variety.
- Visual system. Backdrop or location, lower thirds, title cards, chapter markers, end cards. Built once, reused throughout.
- Runtime discipline. Most training modules are too long. Six to ten minutes per topic, with longer subjects broken into parts, tends to hold attention and simplifies later updates.
- Structure. A repeating internal structure — objective, demonstration, common errors, summary — helps viewers and dramatically speeds scripting on later modules.
Step 3: Handle subject matter experts deliberately
Training content is only useful if it is accurate, which means subject matter experts have to be involved. It also means they are usually the schedule bottleneck.
What works:
- Get SME sign-off on scripts, not on finished edits. Correcting an error in a script costs minutes. Correcting it after the shoot costs a reshoot.
- Name a single accountable approver per module. Committee review on twenty modules will consume the year.
- Set review windows with dates attached, and build them into the production schedule as real dependencies.
- If SMEs are appearing on camera, budget coaching time. Expertise and on-camera comfort are unrelated skills.
Step 4: Batch the shoot days
This is where the money is saved. Every shoot day carries fixed overhead — crew call, setup, lighting, teardown — that does not shrink with the amount of content captured.
Consolidate. If eighteen modules use the same presenter against the same backdrop, that is not eighteen shoot days. Depending on script density it may be three or four, with the presenter working through multiple modules per day.
Practical constraints to plan around:
- Presenter fatigue is real. Scripted delivery quality drops noticeably after several hours. Build in breaks and do not schedule the most complex module last.
- Wardrobe continuity has to be tracked if modules will be viewed as a set.
- Location-dependent modules — a warehouse floor, a clinical environment, a specific facility — should be grouped by location, not by curriculum order.
- Capture more than the script requires. B-roll and cutaways gathered on the day cost almost nothing then and are expensive to return for.
Step 5: Plan delivery specs up front
Training video usually has a destination system, and that system has requirements. Establish them before post begins:
- Captions. Assume they are required. For many organizations they are a legal obligation, not a preference. Budget for accurate captions rather than auto-generated ones, particularly where technical or clinical terminology is involved.
- File format and resolution that the LMS accepts.
- Chaptering or bookmarking if the platform supports it.
- Knowledge check integration — if quizzes interrupt the video, the edit needs defined break points.
- Accessibility beyond captions — audio description, transcripts, and readable on-screen text sizing.
- Translation for multilingual workforces. Deciding this before the shoot changes how on-screen text is built and whether the edit is structured for alternate audio tracks.
Step 6: Build the versioning plan before you need it
Training libraries decay. Policies change, software updates, regulations move, presenters leave the company.
Decide at the outset:
- Which modules get a scheduled annual review
- Who owns triggering an update when the underlying subject changes
- Whether project files and raw footage are retained, and for how long — this determines whether an update is an edit or a reshoot
- How versions are labeled so staff know which one is current
Retaining organized project files and selects is the difference between a thirty-minute update and a new production. It is worth specifying in the contract.
A realistic annual structure
For a twenty-module program, a workable shape looks like this:
- Weeks 1 to 4: Curriculum scoping, format decisions, SME assignment.
- Weeks 4 to 10: Scripting and SME review, running in batches rather than sequentially.
- Weeks 10 to 12: Visual system build, presenter selection, location lock.
- Weeks 12 to 16: Production, in three to five consolidated blocks grouped by location and presenter.
- Weeks 16 to 28: Post, delivered in waves so early modules go live while later ones finish.
- Ongoing: Quarterly review against the versioning plan.
Delivering in waves matters. Waiting until all twenty modules are complete delays value by months for no benefit.
What drives the budget
In rough order of impact:
- Number of shoot days, which is a function of batching, not module count
- Number of distinct locations
- Total finished runtime, which drives post hours
- Graphics and animation complexity, particularly for process or systems content
- Captioning, translation, and accessibility deliverables
- Number of review rounds
Module count itself is a weak predictor. Twenty short modules shot in four consolidated days can cost less than six long ones shot across six separate days at six locations.
